Community Fundraising Terms & Conditions

Thank you for choosing to support Animal Welfare League Queensland (AWLQ). Community fundraising plays a vital role in helping AWLQ care for more than 11,000 stray and abandoned animals each year across South East Queensland.

By registering or conducting a community fundraising activity in support of AWLQ, you agree to the following terms and conditions.

1. Registration and Approval

All fundraising activities conducted in support of AWLQ must be registered and approved by AWLQ prior to the activity taking place.

Once approved, the organiser will receive a Letter of Authority to Fundraise confirming that the activity has been authorised.

AWLQ reserves the right to refuse or withdraw approval of any fundraising activity at any time if it does not align with AWLQ’s values, policies, or legal obligations.

Activities that will not be approved include:

  • Door-to-door solicitation or telemarketing

  • “Tin rattling”

  • Activities that conflict with AWLQ values or reputation

2. Role of the Community Fundraiser

Community fundraisers are independent supporters and are not authorised representatives, employees, or agents of AWLQ.

The approved organiser is solely responsible for the planning, coordination and management of the fundraising activity, including:

  • Event organisation

  • Promotion and publicity

  • Managing volunteers or helpers

  • Financial management of the event

Fundraisers must not imply that they represent AWLQ in an official capacity.

3. Compliance with Laws and Permits

The organiser is responsible for ensuring the fundraising activity complies with all relevant Queensland laws and regulations, including any permits, licences or approvals required from local authorities or the Queensland Office of Fair Trading.

Where applicable, organisers must also obtain permission from property owners, event organisers or local councils before conducting fundraising activities.

4. Use of AWLQ Name and Logo

AWLQ’s name and branding must only be used in connection with the approved fundraising activity and must not be altered.

All promotional materials, media communications or marketing that include the AWLQ name or logo must be approved by AWLQ prior to publication.

Community fundraisers may be provided with an approved supporter logo for use in event promotion.

Correct references should include:

  • Animal Welfare League QLD

  • AWLQ

5. Sponsorship and Partnerships

Community fundraisers must consult AWLQ before approaching businesses or organisations for sponsorship to avoid conflicts with existing AWLQ partnerships.

Any corporate partnerships linked to the fundraising activity must be appropriate and aligned with AWLQ values.

6. Financial Management

The organiser is responsible for all financial aspects of the fundraising activity, including:

  • Collecting donations

  • Managing expenses

  • Keeping accurate records of funds raised

AWLQ is not responsible for any expenses, debts or losses incurred during the fundraising activity.

Where AWLQ’s name or logo is used, it is expected that all funds raised will be donated to AWLQ, unless otherwise agreed with AWLQ in advance.

Funds raised must be transferred to AWLQ within four (4) weeks of the fundraising activity.

7. Tax-Deductible Receipts

AWLQ can only issue official tax-deductible receipts for eligible donations of $2 or more made directly to AWLQ.

Receipts cannot be issued for:

  • Event tickets

  • Raffle tickets

  • Auction items

  • Purchases of goods or services

Where donors request a receipt, their name, address and contact details must be recorded and provided to AWLQ.

8. Insurance and Liability

The organiser is responsible for ensuring appropriate public liability insurance is in place for the fundraising activity where required.

AWLQ will not be liable for any injury, loss, damage, or incident that occurs during or in connection with the fundraising activity.

9. AWLQ Support

AWLQ may be able to support approved community fundraisers by providing:

  • A Letter of Authority to Fundraise

  • Promotional templates and fundraising resources

  • Listing the event on the AWLQ website or events calendar

  • Tax receipts for eligible donations

  • A Certificate of Appreciation

AWLQ is unable to provide:

  • Funding or reimbursement of event costs

  • Raffle prizes, auction items or fundraising merchandise
  • Staff to organise or run the event
  • Contact lists for promotion

10. Ethical and Responsible Fundraising

Fundraising activities must reflect positively on AWLQ and must not damage the reputation of the organisation.

Activities involving animals must prioritise animal welfare at all times and must not place animals at risk.

11. Privacy

Personal information collected as part of the community fundraising registration process will be used by AWLQ to manage and support fundraising activities and will be handled in accordance with AWLQ’s Privacy Policy.
